When a payment is processed for an appointment in Setmore, payment data will automatically export to your QuickBooks account. You specify which account will receive the payment data. Set it and leave it.

Automatically Export New Payments

Once activated, this integration links your Setmore account with your QuickBooks account. Anytime you log a payment for an appointment in Setmore, the payment details will automatically export to your QuickBooks account. The customer’s contact info will also be transferred, so you can see which customer made the payment and mark the customer’s account as paid up in QuickBooks.

Cash or Card Payments in Setmore

To make the most of this integration, you should already be logging cash payments for appointments with the Setmore Cash Register system. This feature is included with the free, basic version of Setmore.

If you have a Setmore Premium account, you can also connect your Stripe account with Setmore to enable taking credit or debit card payments from your customers. With Stripe enabled, you can also activate credit or debit card payments on your Booking Page, so customers can pay for their appointments upfront.

Integrate QuickBooks in a Few Steps

Setting up the integration is easy. You’ll need to have your QuickBooks username and password handy, but once the integration is activated, you can set it and leave it.

1. In Setmore, navigate to Apps & Integrations, then scroll down and click the QuickBooks integration card. Click the “Activate” button on the left side of the pop-up window.

2. Enter your QuickBooks username and password, then click the Sign In button. You will be prompted to authorize access for Setmore.

3. Map the contact fields from Setmore to your QuickBooks account and test the target. Successful completion of the field mapping will activate the integration.


Frequently Asked Questions

Will payments logged in QuickBooks show in Setmore?
No, currently the integration will only push new payment data from Setmore to QuickBooks. If you log a payment in QuickBooks, this will not reflect in Setmore. This is primarily because any payments entered into Setmore are attached to a specific appointment or class session on your calendar.

If I log a payment in QuickBooks first, how can I show that an appointment is paid in full in Setmore?
You can use Appointment Labels , which are quick 1-2 word annotations that appear in the top-right corner of the appointment box on your Setmore calendar. These labels are for visual reference only, and will not affect the “paid” or “unpaid” status of an appointment either in Setmore or QuickBooks.
