Now we\u2019ll explore <\/span><b>text reminders<\/b><span style=\"font-weight: 400;\">, a feature that comes with your paid Setmore Pro subscription. <\/span><\/p>\n<p><span style=\"font-weight: 400;\"><a href=\"https:\/\/www.setmore.com\/blog\/how-to-sms-reminders\/\">Text reminders<\/a> have an <\/span><b>open rate of 90%<\/b><span style=\"font-weight: 400;\">, making them more than twice as effective as email <a href=\"https:\/\/www.setmore.com\/blog\/setmore-updates-automatically-friendly-daylight-savings-reminder\/\">reminders<\/a>.* Because of this, if text reminders save you one missed appointment in any given month, then your Pro subscription will typically have <\/span><b>paid for itself<\/b><span style=\"font-weight: 400;\">. (This assumes your services cost more than $12\/month on average.) <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Text reminders are easy to set up, even if you primarily use the Setmore mobile app for <\/span><a href=\"https:\/\/apps.apple.com\/us\/app\/setmore-appointment-scheduling\/id665859578\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">iOS<\/span><\/a><span style=\"font-weight: 400;\"> or <\/span><a href=\"https:\/\/play.google.com\/store\/apps\/details?id=com.adaptavant.setmore&amp;hl=en\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Android<\/span><\/a><span style=\"font-weight: 400;\">. Just activate text reminders in the <\/span><span style=\"font-weight: 400;\">Setmore web app<\/span><span style=\"font-weight: 400;\">, and Setmore will take care of the rest while you continue to book appointments from your phone.<\/span><\/p>\n<p style=\"text-align: center;\"><span style=\"font-weight: 400;\">&#8212;<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">What are text reminders?<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Text reminders are an automated text or SMS message that Setmore sends to your customers, an hour or more before their next appointment. (You get to choose the lead time.) Each text reminder shows information specific to the appointment, including the chosen date, time, service and provider. It looks something like this:<\/span><\/p>\n<p><img decoding=\"async\" class=\"aligncenter size-full wp-image-3566\" style=\"border: none;\" src=\"https:\/\/storage.googleapis.com\/blog-setmore\/1\/2019\/03\/text-reminder.png\" alt=\"The Appointment Reminder text from the customer's perspective.\" width=\"475\" height=\"455\" \/><\/p>\n<p><span style=\"font-weight: 400;\">As previously mentioned, text reminders are included with your <\/span><a href=\"https:\/\/www.setmore.com\/pro\" target=\"_blank\" rel=\"noopener noreferrer\"><b>Setmore Pro<\/b><\/a><span style=\"font-weight: 400;\"> subscription, therefore you will need to upgrade to activate text reminders in your account.<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Activating text reminders<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Before we begin, it\u2019s important to note that you must activate text reminders through the <\/span><span style=\"font-weight: 400;\">Setmore web app<\/span><span style=\"font-weight: 400;\">. As of now, the Setmore mobile app for iPhones and Android phones does not include a path to activate this feature. However, the good news is that once the text reminder feature is activated through the Setmore web app, you don\u2019t need to take any additional actions. It will continue working in the background, while you conduct most of your business on the Setmore smartphone app. <\/span><\/p>\n<p><img decoding=\"async\" class=\"aligncenter size-full wp-image-3560\" style=\"border: none;\" src=\"https:\/\/storage.googleapis.com\/blog-setmore\/1\/2019\/03\/activating-text-reminders.png\" alt=\"The Appointment Reminders menu in Setmore.\" width=\"700\" height=\"223\" \/><\/p>\n<ol>\n<li style=\"font-weight: 400;\"><b>Log into Setmore<\/b><span style=\"font-weight: 400;\"> from a web browser and navigate to <\/span><span style=\"font-weight: 400;\">Settings &gt; Notifications &gt; Customer<\/span><span style=\"font-weight: 400;\">.<\/span><span style=\"font-weight: 400;\"><br \/>\n<\/span><span style=\"font-weight: 400;\"><br \/>\n<\/span><em>Note:<span style=\"font-weight: 400;\"> if you don\u2019t see this option in your navigation menu, this could be because you have a <\/span><a href=\"https:\/\/support.setmore.com\/en\/articles\/490975-staff-login-and-access-controls\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">staff login<\/span><\/a><\/em><span style=\"font-weight: 400;\"><span style=\"font-weight: 400;\"><em> with insufficient access level. Contact your account admin to activate the feature.<\/em><\/span><\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Under <\/span><b>Appointment Reminders<\/b><span style=\"font-weight: 400;\">, check the box to toggle text reminders on or off.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Under <\/span><b>Reminder Lead Time<\/b><span style=\"font-weight: 400;\">, use the drop-down menu to set the lead time in days, hours, and minutes.<\/span><\/li>\n<\/ol>\n<p><img decoding=\"async\" class=\"aligncenter size-full wp-image-3562\" style=\"border: none;\" src=\"https:\/\/storage.googleapis.com\/blog-setmore\/1\/2019\/03\/reminder-lead-time.png\" alt=\"The Reminder Lead Time menu in Setmore.\" width=\"700\" height=\"223\" \/><\/p>\n<div style=\"background-color: #ebebeb; border-radius: 15px; padding: 25px 25px 25px 25px;\"><b><i>Pro tip:<\/i><\/b><i><span style=\"font-weight: 400;\"> We recommend a reminder lead time of either 1 day, or 1-3 hours. Experiment to see which works best for your customers.<\/span><\/i><\/div>\n<p style=\"text-align: center;\"><span style=\"font-weight: 400;\">&#8212;<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Customizing your text reminders<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Setmore allows you to fully customize the body of your text reminder. So you can put your own words into the reminder template, or include <\/span><b>prep instructions<\/b><span style=\"font-weight: 400;\"> that your customers may need before they come in for their appointment. We\u2019ve included some more ideas in the next section, but for now, here\u2019s how you can access the customizable text reminder template:<\/span><\/p>\n<p><img decoding=\"async\" class=\"aligncenter size-full wp-image-3561\" style=\"border: none;\" src=\"https:\/\/storage.googleapis.com\/blog-setmore\/1\/2019\/03\/customize-text-reminder.png\" alt=\"The Reminders Customization menu in Setmore.\" width=\"700\" height=\"269\" \/><\/p>\n<ol>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Log into the <\/span><b>Setmore web app<\/b><span style=\"font-weight: 400;\"> and navigate to <\/span><span style=\"font-weight: 400;\">Settings &gt; Notifications &gt; Customization<\/span><span style=\"font-weight: 400;\">.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Under <\/span><b>SMS Notification<\/b><span style=\"font-weight: 400;\">, you will see a grey text field and a blue preview field. Click on the grey text field to edit it, and your changes will automatically show in the blue preview field.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">While editing, a number of <\/span><b>dynamic variable<\/b><span style=\"font-weight: 400;\"> options will appear above the text field. You can drag and drop these into place as you construct your text reminder template.\u00a0<\/span><span style=\"font-weight: 400;\">So for example, the \u201cSTAFF\u201d variable will always display the booked staff member for the given appointment, and so on. <\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Click anywhere outside the field to <\/span><b>save your changes<\/b><span style=\"font-weight: 400;\">.<\/span><\/li>\n<\/ol>\n<p style=\"text-align: center;\"><span style=\"font-weight: 400;\">&#8212;<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Things to include in your text reminder template<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">The default text reminder template is designed to meet your needs with only <\/span><b>essential information<\/b><span style=\"font-weight: 400;\"> that your customers would want. However, you can use this space to include custom messages that are more on-brand for your business. Here\u2019s some examples from other Setmore users on information they\u2019ve included in their templates:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><b>\u201cDo not reply\u201d<\/b><span style=\"font-weight: 400;\"> \u2013 Because Setmore text reminders do not currently support 2-way functionality, this helps ensure that customers aren\u2019t speaking to a wall if they have follow-up questions or comments.<\/span><\/li>\n<li style=\"font-weight: 400;\"><b>Reply to: ###-####<\/b><span style=\"font-weight: 400;\"> \u2013 Adding a reply-to number gives customers the option to text their follow-up questions or comments directly to you or another staff member. This isn\u2019t a foolproof plan, but it does help.<\/span><\/li>\n<li style=\"font-weight: 400;\"><b>Appointment prep info<\/b><span style=\"font-weight: 400;\"> \u2013 If customers need to bring specific materials to their appointment, this may be a good place to remind them to do so. Provided you can do it concisely, because the custom template does have a character limit.<\/span><\/li>\n<\/ul>\n<p><b>A quick note on marketing messages:<\/b><span style=\"font-weight: 400;\"> Generally speaking, you don\u2019t want to include marketing jargon in your text reminders because they can be flagged by phone carriers as spam. If you do choose to include promotional messages in this space, be careful with your wording and avoid sounding spammy. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Whatever you do, just make sure that your messaging stays <\/span><b>helpful and relevant<\/b><span style=\"font-weight: 400;\">. Most customers regard their text message inbox as highly personal (which may explain why open rates are so high compared to email). So any irrelevant messaging may be seen as a nuisance rather than welcome, and customers can report this as spam. <\/span><\/p>\n<p style=\"text-align: center;\"><span style=\"font-weight: 400;\">&#8212;<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Validating the reminder status<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">You might get a few customers every now and then who report not receiving a text reminder. When this happens, there\u2019s an easy way to <\/span><b>check if a reminder was sent <\/b><span style=\"font-weight: 400;\">to your customer, or if it wasn\u2019t, the reason for the delivery failure. You can check the status of the reminder by clicking any appointment in your calendar to bring up the <\/span><b>Appointment Details<\/b><span style=\"font-weight: 400;\"> window.<\/span><\/p>\n<p><img decoding=\"async\" class=\"aligncenter size-full wp-image-3563\" style=\"border: none;\" src=\"https:\/\/storage.googleapis.com\/blog-setmore\/1\/2019\/03\/reminder-status.png\" alt=\"The Reminder Status menu in Setmore.\" width=\"500\" height=\"372\" \/><\/p>\n<p><span style=\"font-weight: 400;\">Click the <\/span><b>tooltip icon<\/b><span style=\"font-weight: 400;\"> next to the Appointment Details subheader, and a small menu will appear to show the specific reminder status for that appointment. Here you\u2019ll see a confirmation of when the reminder was sent, or if it wasn\u2019t, a specific reason as to why. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">In most cases, this is because the customer\u2019s phone number was entered incorrectly or the customer entered a landline phone instead of a mobile phone when booking their appointment.<\/span><\/p>\n<p><img decoding=\"async\" class=\"aligncenter size-full wp-image-3564\" style=\"border: none;\" src=\"https:\/\/storage.googleapis.com\/blog-setmore\/1\/2019\/03\/send-reminder.png\" alt=\"Using the Send Reminder button in Setmore.\" width=\"500\" height=\"372\" \/><\/p>\n<p><span style=\"font-weight: 400;\">If your reminder is still pending, you can <\/span><b>trigger it to manually send<\/b><span style=\"font-weight: 400;\"> by scrolling down and clicking the \u201cReminder Pending\u201d message in the Appointment Details window. <\/span><\/p>\n<p style=\"text-align: center;\"><span style=\"font-weight: 400;\">&#8212;<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Text reminder limitations<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Setmore plans to enhance the text reminder experience in the near future. For the time being, there are some limitations you should be aware of.<\/span><\/p>\n<p style=\"padding-left: 30px;\"><b>There is only one reminder per appointment<\/b><span style=\"font-weight: 400;\"> \u2013 This might change in the future, but as of right now the text reminder sends only once per appointment, at the specified reminder lead time.<\/span><\/p>\n<p style=\"padding-left: 30px;\"><b>You can\u2019t send a mass text<\/b><span style=\"font-weight: 400;\"> \u2013 Mass email, text, and other marketing tools such as this may be added in at a later date, but for right now you can only send reminders.<\/span><\/p>\n<p style=\"padding-left: 30px;\"><b>Text reminder settings aren\u2019t accessible via mobile \u2013<\/b><span style=\"font-weight: 400;\"> As previously mentioned, you can adjust your text reminder settings by logging into your Setmore account at <\/span><a href=\"https:\/\/my.setmore.com\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">https:\/\/my.setmore.com<\/span><\/a><span style=\"font-weight: 400;\">. <\/span><\/p>\n<p style=\"padding-left: 30px;\"><b>Not all countries support text reminders<\/b><span style=\"font-weight: 400;\"> \u2013 Due to carrier limitations, Setmore cannot send text reminders in some countries. See the next section for instructions on how to verify if your country is supported.<\/span><\/p>\n<p style=\"text-align: center;\"><span style=\"font-weight: 400;\">&#8212;<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Are text reminders supported in your country?<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">This question doesn\u2019t come up very often, and for the majority of countries the answer is yes. However, we\u2019ve included a tool so that you can <\/span><b>independently verify<\/b><span style=\"font-weight: 400;\"> if text reminders are a supported feature in your country. <\/span><\/p>\n<p><img decoding=\"async\" class=\"aligncenter size-full wp-image-3565\" style=\"border: none;\" src=\"https:\/\/storage.googleapis.com\/blog-setmore\/1\/2019\/03\/test-SMS.png\" alt=\"The Test SMS menu in Setmore.\" width=\"700\" height=\"223\" \/><\/p>\n<ol>\n<li style=\"font-weight: 400;\"><b>Log into Setmore<\/b><span style=\"font-weight: 400;\"> and navigate to <\/span><span style=\"font-weight: 400;\">Settings &gt; Notifications &gt; Customers<\/span><span style=\"font-weight: 400;\">.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Under Appointment Reminders and adjacent to the Text toggle switch, there will be a link for <\/span><b>Test SMS<\/b><span style=\"font-weight: 400;\">. Click this button.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Where prompted, <\/span><b>enter your phone number<\/b><span style=\"font-weight: 400;\"> including country code and click Send.<\/span><\/li>\n<\/ol>\n<p><span style=\"font-weight: 400;\">The reminder should be received in just a few moments after clicking the Send button. If you don\u2019t receive a text reminder, first verify that <\/span><b>the number entered was correctly<\/b><span style=\"font-weight: 400;\">.
