Our built-in email and reminder system does all of the following tasks for you, so you can focus on delivering amazing experiences:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Confirm new appointments with customers<\/li>\n\n\n\n<li>Give customers the ability to reschedule or cancel online<\/li>\n\n\n\n<li>Remind customers about their appointments via email<\/li>\n\n\n\n<li>Send text reminders to customers before their appointments (with <a href=\"https:\/\/www.setmore.com\/pro\">Pro<\/a>)<\/li>\n\n\n\n<li>Alert your staff about new, rescheduled and canceled appointments<\/li>\n<\/ul>\n\n\n\n<p><p>In this blog post, we\u2019ll cover the benefits of Setmore\u2019s automated messaging system and how to customize your email confirmations and reminders.<\/p>\n<p>&nbsp;<\/p><\/p>\n\n\n\n<p class=\"has-text-align-center\"><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Confirmation emails.<\/h2>\n\n\n\n<p>When you or a customer book an appointment, the customer automatically receives a confirmation email with all the important details. This digital receipt serves as a record for the appointment and offers extra convenience with an .ics attachment and &#8216;reschedule\/cancel&#8217; options (continue reading for a breakdown). Once the email lands in a customer\u2019s inbox, the attachment will prompt the customer to add that appointment to their own calendar, whether they&#8217;re using Google, Office or iCloud. They enable the customer to reschedule or cancel an appointment online, without having to call you. Customers can reschedule or cancel up to the cancellation window as specified in your <a href=\"https:\/\/support.setmore.com\/booking-page\/booking-lead-advance-or-cancelation-time\" target=\"_blank\" rel=\"noreferrer noopener\">Booking Policies<\/a>.<\/p>\n\n\n\n<p>Confirmation emails are activated by default in your Setmore account. The reminder template informs customers what time their appointment is. Its primary purpose is to help reduce no-shows and make sure your customers arrive on time. Experiment to see which works best for your customers.<\/i><\/div>\n\n\n\n<p class=\"has-text-align-center\">&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Verifying reminder status.<\/h2>\n\n\n\n<p>Every so often you might have a customer who doesn\u2019t receive an email reminder. Your app will indicate if the reminder was sent, is still pending or failed for some reason. You can also manually trigger a reminder by clicking the reminder status and selecting &#8216;Send Reminder&#8217;.<\/p>\n\n\n\n<p class=\"has-text-align-center\">&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Reschedule and cancelation emails.<\/h2>\n\n\n\n<p>Reschedule and cancelation emails work the same way as a confirmation email. If you or a customer reschedules or cancels an appointment, Setmore will automatically send one of these emails to notify the customer of the action. Under &#8216;Appointment&#8217;, simply check or uncheck the box next to &#8216;Edited&#8217; or &#8216;Canceled&#8217;.<\/p>\n\n\n\n<p class=\"has-text-align-center\">&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Email customization options.<\/h2>\n\n\n\n<p>The body of the email template cannot be changed. However, you can customize the sender name that\u2019s applied to the email and you can add a custom signature to the email template. Here are some examples of information you can include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Directions to your place of business<\/li>\n\n\n\n<li>Instructions to pre-book a customer&#8217;s next appointment<\/li>\n\n\n\n<li>Encouragement to review your services<\/li>\n\n\n\n<li>Limited-time promotional offers (just remember to change your signature when the offer ends)<\/li>\n<\/ul>\n\n\n\n<p class=\"has-text-align-center\">&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Email limitations.<\/h2>\n\n\n\n<p>The team plans to expand the functionality of email alerts in the future. For the time being, there are some limitations you should be aware of.<\/p>\n\n\n\n<p><b>Emails and texts are &#8216;do-not-reply&#8217;<\/b>&nbsp;\u2013 If you want customers to be able to respond to an email alert or reminder, be sure to include instructions for how they can reach you in the custom email signature.<\/p>\n\n\n\n<p><strong>Customers can&#8217;t reschedule or cancel class sessions<\/strong> \u2013 The &#8216;Reschedule&#8217; and &#8216;Cancel&#8217; buttons won&#8217;t appear in an email confirmation or reminder for a class session, even if you have the option enabled.<\/p>\n\n\n\n<p><b>Email settings aren\u2019t accessible via mobile \u2013<\/b> As previously mentioned, you can adjust your email alert settings by logging into <a href=\"https:\/\/my.setmore.com\">Setmore<\/a>.<\/p>\n\n\n\n<p><b>Setmore doesn\u2019t support mass marketing \u2013<\/b> This might change in the future, but we don\u2019t currently support the ability to send a mass email to your customer list.
